We are looking for a dedicated and dynamic Executive Assistant to support the EVP of Digital Marketing. The ideal candidate should thrive in a fast-paced environment, manage multiple tasks simultaneously, and have a keen eye for detail. They must efficiently manage the EVP’s schedule, multitask and effectively partner and communicate with internal departments. This role may involve some non-traditional working hours, including early mornings/late evenings, weekends etc.
What You Will Do
- Heavy meeting coordination, logistics, preparation, invitations and materials
- Calendar management, including travel coordination, long range planning and day-to-day meetings
- Act as primary contact for all incoming phone calls and communications for EVP
- Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
- Prepare all business-related expenses using Concur and the SAP travel proxy role, ensuring expense reports are completed and filed in a timely manner
- Order supplies/materials and process invoices
- Spearhead and coordinate internal team events/ meetings/ recognitions
- Other duties as required
Required Qualifications & Skills
- At least one year of experience in an administrative position supporting at the senior executive level, preferably in the entertainment industry or in an agency environment
- Proficient in PC and MAC
- Excellent computer skills, including strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint
- Demonstrated ability to prioritize, meet deadlines, make decisions, change course of action quickly, and be flexible
- Experience with booking travel for your leader and/or team and build travel itineraries
- Able to protect Executive’s time through strategic and proactive calendar management and vetting a variety of meeting requests
- Effective communicator, both verbally and written
- Demonstrated collaboration skills, including the ability to work effectively with other assistants and staff at all levels
- Ability to work in a highly matrixed organization (ability to work with multiple leaders and manage work demands from multiple sources)
- Demonstrate ability to ask questions, raise concerns, and be an effective problem solver
- Detail-oriented with superior organization skills and the ability to maintain professionalism under pressure
- Exceptional organizational and follow-through skills with the ability to work on many projects simultaneously
- Team player and easy-going manner to handle varied personalities, responsibilities and assignments
- Positive attitude and the ability to be proactive, resourceful and flexible
- Ability to be flexible with work schedule and to work overtime
Preferred Qualifications
- Experience with SAP, Keynote, and Google Docs
- Prior experience supporting marketing executives or experience working within entertainment and/or the streaming industry
- Passionate about entertainment including both movies and episodic series content, and the streaming business
Education
- Bachelor’s Degree or equivalent experience
The hiring range for this position in Burbank, CA is $64,300 to $86,200 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
